How to send a design or old sample for printing

You do not need a finished design to start a printing enquiry. An old sample and a clear description can help explain what you want. Before production, however, everyone needs to agree which file is final and exactly what should be printed.

Say what you want made

Begin with the product, quantity and finished size. Say whether it is single-sided or double-sided and whether a booklet has a separate cover. Include the date you need it and where it will be collected or delivered.

If you do not know the paper or finish, say so. Explain the intended use and ask which options are available for the job. For example, “a card customers will keep in a wallet” gives more useful context than choosing a paper name without seeing a sample.

Send the best source you have

If a designer prepared the artwork, ask for a PDF intended for print and confirm the printer’s required export settings. Adobe describes bleed as artwork extending beyond the trim boundary; ask the printer how much bleed the job needs and whether crop marks are wanted.

If your reference is a printed item, photograph it straight-on in good light and include its dimensions. Send both sides where relevant. A photograph explains the design but should not be assumed to be the final production file.

Clearly list changes to the old version: phone number, address, wording, colour or quantity. Supply the original logo file if available. Avoid using a screenshot as the only source when a higher-quality original exists.

Check Hindi text and small details

Open the exported PDF and check names, Hindi matras, spacing, punctuation and numbers. Font embedding helps preserve the intended lettering when a PDF is viewed or printed on another system, subject to the font’s embedding permissions.

Read contact details separately from the design review. If a QR code is present, scan the proof and verify its destination. Do not assume that a visually attractive page has the correct phone number, address or website.

Make the version and page order unambiguous

Use one clearly named final file, such as “school-diary-approved-v3.pdf”, and state which earlier files it replaces. For multi-page work, check the order, any intentionally blank pages, the front and back cover, and whether all pages share the intended dimensions.

If changes arrive after approval, ask for an updated proof and reconfirm production timing. Keep the approval message together with the final file so there is one clear reference for the order.

Agree the checks before printing

Ask how the proof will be supplied and what it can demonstrate. A screen preview can help check spelling and layout, but the screen alone does not establish the feel of paper or the exact appearance of printed colour. Ask about sample options if those details are important.

Confirm the quantity, size, paper, finishing, final price and agreed date before proceeding. Design assistance, sample availability and turnaround should be confirmed for your particular order.
