Ordering bill books: what to confirm before printing

An old bill book is a useful starting point, but a repeat order still needs a few decisions. Has your phone number changed? Do you need a second copy? Where should the numbering begin? Agreeing these details together makes the quote easier to compare and reduces avoidable corrections.

Start with the way you use the book

Choose the layout around the person filling it in. A shop writing several items per sale needs enough rows and space for handwriting. A service business may need more room for a description. Take a blank page from your current book and mark what works and what feels cramped.

Describe whether you need a bill book, payment receipt book or delivery challan. Share your approved wording and business details rather than asking the printer to guess the format.

Specify books, sets and copies separately

“100 pages” can mean different things when copies are involved. State the number of books, the number of transaction sets in each book and the number of copies in each set. Then ask the printer to confirm the same specification in the quote.

For example, an enquiry might say: “20 books, 50 transaction sets per book, two sheets per set: one customer copy and one office copy.” This is an illustration, not a standard pack or a minimum order. Confirm the paper and copy method available for your job.

Confirm size, numbering and finishing

Measure the finished page, or supply a sample with its dimensions. Say which copy should remain in the book and which should be removable. Ask about binding, perforation and numbering where needed; availability and cost should be confirmed before you place the order.

If continuing an existing series, give the exact first number and any letter prefix. Ask for the intended final number in the order confirmation. Keep separate series clearly identified if more than one counter or branch uses the books.

Check one proof carefully

Read the business name, address and contact number character by character. Check headings, writing space, spelling in Hindi or English, and the numbering instructions. If the book has multiple copies, check the labels and any differences between them.

Ask who will approve the final proof and how that approval will be recorded. Keep the approved version with the order so later corrections are not confused with the version sent for printing.

Compare the whole specification

A meaningful price comparison uses the same quantity, finished size, number of sets and copies, paper, ink colours and finishing. Ask whether artwork changes, numbering and delivery are included. Agree the completion date for the actual job before committing.
